Administrative Assistant
Providing administrative support, this
mature and experienced
professional will
support the team, including
the service manager and the president.
But this
job is about more than answering phones and being
friendly, your initiative and organizational
skills will keep our team running at top
performance, while your enthusiasm and ideas will
shape the environment in which we all work.
We will rely on your passion and adaptability to
maintain a professional presence and perform the
following responsibilities:

Answer and route incoming telephone calls
·
Welcome and assist visitors to our office
·
Screen and route incoming mail, including daily
retrieval from the Post Office
·
Provide service dispatch by taking client calls and
assigning available resources to service requests
based on priorities
·
Compose and prepare correspondence, including
e-mail and faxes as required
·
Organize and maintain electronic records
·
Coordinate and arrange company meetings and
seminars
·
Process basic accounting functions like entering
bills and deposits
·
Receive deliveries and process outbound shipments
·
Assist with collections as necessary
·
Order office supplies
·
Provide sales support including assisting with
preparing proposals and contracts
·
Enter sales information into our CRM system and
send sales materials to prospects
·
Provide assistance with Human Resources paperwork
as required
Qualifications:
·
High school diploma at a minimum, college degree
preferred
·
2+ years professional related experience,
Administrative Assistant experience preferred
·
Reliable transportation required
·
This position is based in our office between the
hours of 8:30 AM and 5 PM, Monday through Friday
·
Exemplary customer service, communication and
negotiation skills
·
Prior bookkeeping experience strongly preferred
·
Ability to adapt to an ever changing environment
·
Ability to solve practical problems and deal with a
variety of situations; ability to interpret a
variety of instructions
·
Computer proficiency is a must
·
Deadline and solutions oriented with the ability to
handle multiple competing priorities; Wide variety
of responsibilities means you'll never be bored!
